05 — Service RequestsProduct

Every request becomes a task with an owner.

When a guest asks for something on WhatsApp, Blue Butler records it with the room, the guest and the department, and your team moves it to done.

Overview05 / 09

The guest asks once. Nobody passes a note to anyone.

In most hotels a guest request travels by phone, sticky note or WhatsApp group, and it is easy for one to slip. Blue Butler turns each request into a service request with what was asked, the room, the guest, the department and a status, the moment the guest sends it.

Requests land with the team that does the work: towels with Housekeeping, transfers with Concierge, late checkouts with the Front Desk. Staff move them from Pending to In progress to Resolved, and if something can’t be done, they cancel it with a clear reason so the outcome is on record.

FAQ

Questions hotels ask about service requests.

How are service requests created?

From the guest’s WhatsApp message. When a guest asks for towels, a repair, a transfer or a late checkout, Blue Butler records what was asked, the room, the guest and the department responsible, and the request appears in your Service Requests list.

Can staff create requests manually?

Requests are created from guest conversations, so every request has a clear source. Your team manages them from the Service Requests list, where they can filter by status or department and search by room, guest or request.

What statuses are there?

Pending, In progress, Resolved and Cancelled. Every request moves through the same clear workflow, so housekeeping, maintenance, the front desk and other departments can see at a glance what still needs doing.

What if a request can’t be done?

Cancel it with a reason, such as item not available, outside service hours, fully booked, duplicate request or guest has checked out. The outcome is recorded on the request, so nothing is lost in a chat.

Does the guest get updates?

The conversation stays open in WhatsApp, so the guest can be kept informed as the request moves along. Guests always know their request was received and who is handling it.
