04 — Escalated ChatsProduct

It knows when to step aside.

Complaints, VIPs and anything sensitive go straight to a person, with the full conversation and the reason written down.

Overview04 / 09

Some conversations need a person, and they need one quickly.

Blue Butler handles routine questions on its own, but it is built to recognise when it shouldn’t. Complaints, billing disputes, urgent maintenance and anything it can’t resolve are handed to a person. The guest is told someone is coming, so they are never left talking to a bot that can’t help.

Each escalation arrives in its own list with a one-line reason, the guest’s name and room, the department it went to and the whole conversation so far. Your team can acknowledge it, reply on WhatsApp as the hotel and mark it resolved, with every step kept in the same thread.

FAQ

Questions hotels ask about escalated chats.

When does Blue Butler escalate?

When a guest complains, asks to speak to a person, or raises something it can’t resolve on its own, such as a billing dispute, an urgent repair or a sensitive request. The conversation is handed to the right department straight away, with a short reason written down.

Does the guest know they’ve been handed over?

Yes. Blue Butler tells the guest in the same WhatsApp chat that a member of the team will help. The guest never has to call reception or repeat their problem, because the staff member sees the full conversation.

Does the AI keep replying after a handover?

No. Once a conversation is escalated, Blue Butler stops auto-replying in that chat so your team can take over. Staff reply from the inbox, and the guest hears directly from a person until the issue is resolved.

Can the guest close an escalated chat?

Yes. The guest can close the escalated chat themselves once they’re happy, and your team can also mark it resolved. Either way, the outcome is recorded, and the guest can keep using Blue Butler for anything else during their stay.

Is the conversation kept?

Yes. The full thread, including the guest’s messages, the handover note and every staff reply, stays in the inbox. Managers can read it back later for training, service reviews or follow-up with the guest.
