Know the guest behind every message.

Name, room, stay dates and ID status, shown wherever your team works with a guest, so every reply feels personal.

Overview02 / 09

A good reply starts with knowing who is asking.

Guests in Blue Butler are built from your bookings, not a separate database. Each guest is matched to their WhatsApp number, so when they write, your team sees their name, room, stay dates and booking status at the top of the conversation.

That context follows the guest everywhere: into the inbox, into escalations and onto every service request they create. Staff never have to ask “which room are you in?”, and Blue Butler can greet guests by name and answer questions about their own stay.

Without Blue ButlerToday
  • Staff ask the guest for their name and room
  • Guest details sit in a separate system
  • Replies feel generic
  • Nobody knows if the ID was checked
With Blue ButlerLive
  • Name and room shown on every conversation
  • Built from the booking, nothing to retype
  • Blue Butler greets guests by name
  • Verification state is right there

FAQ

Questions hotels ask about guests.

Is this a hotel CRM?

No. Blue Butler isn’t a separate CRM to maintain. Guest details come straight from bookings and WhatsApp conversations, so the guest list is always current and there is nothing extra for your team to fill in. Staff see each guest’s name, phone number, room, stay dates, booking status and ID state in one place.

How are guests linked to WhatsApp?

By the phone number on the booking. When a guest messages your hotel on WhatsApp, Blue Butler matches the number to their stay and shows the conversation with their name and room. Several guests on the same booking can each be linked with their own number, including guests added mid-stay.

Can staff see guest details in the inbox?

Yes. The guest’s name and room are shown at the top of every conversation in the inbox, and the same details appear on any service request created from that chat. Whoever picks up the conversation knows who they are speaking to and where to go, without asking the guest again.

What happens after a guest checks out?

Their booking status changes to Checked Out and they move to the departed list. The conversation history stays available to your team, which is useful for invoice questions, lost property and follow-up after the stay.

Is guest ID information visible to all staff?

The ID verification state is shown with the booking, and the documents stay attached to it. Who can sign in to your Blue Butler workspace is managed by your team in Team & Settings, so access to guest information stays with the people who need it.
